Terms and Conditions

 

 

Salon open for entries from 1st February to 20th April 2026

Main Features:

  • The Neath & District Photographic Society UK Salon is supported by the BPE and is open to photographers with addresses in the United Kingdom, Channel Islands, Isle of Man, and BFPO addresses.
  • There are four entry classes:
    • Open Colour
    • Open Monochrome
    • Creative
    • Nature
  • Up to four images may be entered into each class.
  • Entries may only be submitted online via the exhibition web site.
  • Entries may only be made using digital JPG image files.

General Rules:

  • The Organisers reserve the right to reproduce all successful entries in the form of a catalogue which will be sent to all entrants and normal copyright rules will be strictly followed.
  • Each participant will receive an individual notification of their results.
  • The Exhibition Organisers decision is final, and no correspondence will be entered into.
  • The Organisers will take great care of the entered work but decline all responsibility in case of loss, theft, or deterioration during transit or during the projection.
  • Permission to reproduce any image for advertising purposes in conjunction with our Sponsors is assumed. Entrants must be able to supply if requested, either:
    • The original RAW file.
    • An untouched camera JPEG.
    • A sequence of images surrounding the entered image.
  • All Images must be the sole work of the Entrant.
  • Images that have been Accepted or Gained any Awards in any previous NDPS UK Salons will not be eligible unless there is evidence of significant changes to the composition.  Changing the image from Colour to Mono or vice versa does not constitute significant changes.
  • All entries will be checked against a database of previous entries.
  • If you are entering images taken at a club shoot, be aware that similar images from fellow photographers may be entered.  This could cause the image to be down marked because the Selectors are unaware of the Photographers Identity and could regard it as a double entry.
  • Images taken in burst mode may not be used in the same entry, regardless of Class unless there is a significant difference in the images.
  • All entries are accepted in good faith. The Entrant agrees to indemnify the Judges, Exhibition Organisers and other related parties against any litigation that may arise if entered images do not have the necessary permissions to be published in Exhibition-related documents, or any website associated with the Exhibition.
  • The Exhibition Organisers have the right to withdraw Awards should it become apparent that an image was ineligible.
  • The Exhibition Organisers reserve the right to reject images for any reason, at their discretion.
  • By the virtue of his/her participation the author accepts these regulations.
  • It is the entrant’s responsibility to ensure that his/her contact details are kept up to date.

Authorship

  • In all cases the entered image or, in the case of a composite image, its constituent elements, must have been captured using a photographic process by the Entrant. Any modification of the original image must be made by the Entrant.
  • Each entered image and all elements thereof must be entirely the own work of the entrant.
  • The use of elements from any other photographer’s images, including textures or overlays, is not permitted. This applies even if you have acquired the copyright of such an image, or indeed if such an image is free from copyright.

Copyright

  • The Entrant must own the sole copyright for the original image(s).
  • By entering an image, the Entrant gives permission for the Organisers to reproduce the image (without fee) in connection with the Exhibition (including in the Catalogue and, at reduced resolution, on the Club’s public website).
  • Entries are accepted in good faith. The entrant agrees to indemnify the Selectors, Exhibition Organisers, and other related parties against any costs that may arise if entered images do not have the necessary permissions to be published in connection with the Exhibition.
  • Copyright of the entered image remains with the photographer.

 

Image Content, Manipulation, and Use of “AI”

  • The predominant image content must be directly derived from original photographic image(s) which are entirely the work of the entrant; images may not be constructed entirely within a computer.
  • The use of any source images which are generated by any image generation programs, including those that are “AI-based”, is forbidden.
  • We accept that the use of “AI-based” editing tools in image editors such as Photoshop is becoming increasingly prevalent in photographers’ workflows.
  • We do allow the use of “AI-based” tools in Photoshop, Lightroom, and similar editing programs, including noise reduction and sharpening, but with limitations outlined below.
  • The use of tools like (but not limited to) Photoshop’s Remove and Generative Fill must be limited to a small area of the final image (no more than around 10% total area) and the resultant product of such tools must be akin to manipulating the image with a clone/stamp tool.
  • The use of any tool which introduces a significant visual element which is not in your own source photographs is forbidden. For example, Generative Fill may or may not be allowed depending on whether it introduces new visual element(s). It is acceptable to remove minor distractions and/or extend the canvas in any direction by a small amount, filling the blank area sympathetically with the existing background.
  • No modifications are allowed based on AI generated text input or generated using images or elements not taken by the photographer.
  • Note: The Nature class specifies additional/overriding constraints on allowed manipulation of images. Check the individual class definition for details.
  • Entrants must be able to supply evidence, if requested, that the rules governing image source and manipulation have been followed. This might include:
    • Original image file(s) or films,
    • Adjacent photos,
    • Images used when making up a composite (where allowed),
    • GPS coordinates and/or exact location,
    • An explanation of the use of “AI” tools used to construct the final image

Entry Class Conditions:

Open Colour:

There are no restrictions for this class.

Open Monochrome:

  • Any black and white image going from very dark grey (black) to very clear grey (white) and containing only various shades of grey.
  • A black and white work toned entirely in a single colour will remain eligible for the monochrome class.
  • However, a black and white work modified by partial toning or by the addition of one or more colours, becomes a colour work and is thus ineligible for the monochrome class.

Creative:

  • Montage, Altered reality and Surreal images.
  • Any final image made up from a foreground (subject) image and one or more different background images is considered to be a creative image. The image must obviously display a change in natural colour, form, shape, or any combination of these three. Creative images are montages (a blending or composite of multiple images). High Dynamic Range (HDR) images without further changes are not considered creative and must not be entered in this class.
  • The original image(s) must have been captured using the photographic process. Images may not incorporate elements produced by anyone else or AI generated. This includes any textures or overlays incorporated within the image.
  • Artwork or computer graphics generated by the entrant may be incorporated, provided that the original photographic content predominates images may not be constructed entirely within a computer. It is necessary that the image’s core content be photographic and identifiable.
  • Any subject matter is acceptable as long as the creative guidelines are followed. Non-creative images must not be entered in this class and will be marked down.
  • Images entered in this class may be colour or monochrome.

Nature:

FIAP Definition of Nature Photography: 2021

Nature photography is restricted to the use of the photographic process to depict all branches of natural history, except anthropology and archaeology, in such a fashion that a well-informed person will be able to identify the subject material and certify its honest presentation.

The story telling value of a photograph must be weighed more than the pictorial quality while maintaining high technical quality.

Human elements shall not be present, except where those human elements are integral parts of the nature story such as nature subjects, like barn owls or storks, adapted to an environment modified by humans, or where those human elements are in situations depicting natural forces, like hurricanes or tidal waves.

Scientific bands, scientific tags or radio collars on wild animals are permissible.

Photographs of human created hybrid plants, cultivated plants, feral animals, domestic animals, or mounted specimens are ineligible, as is any form of manipulation that alters the truth of the photographic statement.

No techniques that add, relocate, replace, or remove pictorial elements except by cropping are permitted.

Techniques that enhance the presentation of the photograph without changing the nature story or the pictorial content, or without altering the content of the original scene, are permitted including HDR, focus stacking and dodging/burning.

Techniques that remove elements added by the camera, such as dust spots, digital noise, and film scratches, are allowed. Stitched images are not permitted. All allowed adjustments must appear natural. colour images can be converted to greyscale monochrome.

Infrared images, either direct- captures or derivations, are not allowed.

Images entered in Nature sections meeting the Nature Photography Definition above can have landscapes, geologic formations, weather phenomena, and extant organisms as the primary subject matter. This includes images taken with the subjects in controlled conditions, such as zoos, game farms, botanical gardens, aquariums, and any enclosure where the subjects are totally dependent on man for food.

Photographers may be asked to supply the Raw file, prior to editing, in the case of any query.

Image Preparation Guidance:

  • The images will be remotely viewed by each Selector on their own monitor.
  • Images which are smaller than 1600 by 1200 pixels will be displayed as is (i.e., they will not be made any bigger) and will be surrounded by black as required to fill the displayable area when presented for selection.
  • The online submission web site will not allow you to enter an image which is too big.
  • Only JPG images will be accepted. An sRGB colourspace will be assumed. It is strongly recommended that submitted images should have been converted to the sRGB colourspace, otherwise the Judge will probably not see the same colours that you do!
  • Image titles will be read out to the Selectors and will appear in the catalogue and on the results web pages.
  • Image titles must be no longer than 35 characters. Certain punctuation characters are not permitted within image titles. These are:     _  #  &  /  :  ;  *  ”  ~  <  >  |  ?  \

Image File Naming Requirements:

  • Image files submitted using the online submission website may have any name, within reason, with the proviso that the file must be a valid JPG file with the file name suffix ‘.jpg’. The website will attempt to convert your file name into a preliminary image title. You may then modify that title to suit your requirements both before uploading the image and, if necessary, after the upload.
  • Please title the images as you would expect them to be seen in a catalogue.  Removing items such as jpeg, 1 of 2, photographers name etc.
  • Please refer to the Postal Entry Form for the file naming requirements for postal entries.

Submitting Entries:

  • Entries may be submitted online using the Exhibition online entry pages of the Neath & District Photographic Society website. This is the only method of entry. Payment can be made using the online system during the submission process or by personal cheque if preferred. Please note that each image file to be uploaded must be no larger than 3 Mb.
  • Please note that the Submission Software permits users to amend their entries. If amended, the entry MUST BE REFINALISED, otherwise the submission is not made. Please check and double-check!

Entries Fees and Payments:

  • One class entered: £12; two classes: £14, three classes: £16, four classes: £18.
  • Payment may be made using the Secure PayPal checkout facility using the ‘Payment’ button on the website.
  • Please Note: You do not need a PayPal account to pay your entry fee as the Secure PayPal checkout will give you the option to pay with a Credit or Debit card. You can pay by personal cheque if you prefer.
  • When paying by cheque, the cheque (denominated in pounds Sterling) should be made payable to ‘Neath & District Photographic Society’ and be posted to the address below. Please be sure to write the reference number allocated by the system on the back of your cheque. You will be told the reference number when you finalise your entry.

BPE Crown Awards:

  • As a member exhibition of the British Photographic Exhibitions (BPE) circuit, all images accepted into this exhibition count towards BPE Crown Awards.
  • Entrants are invited to aggregate their acceptances in affiliated exhibitions to apply, without charge, for a BPE Crown Award
  • Details for BPE Crown Awards may be obtained from the Award Officers Alison and Andy Fryer both DPAGB EFIAP/p BPE5 using the email contact found on the BPE website.

Catalogue:

  • A catalogue will be made available as a PDF digital download. We will also produce a printed version which will, by default, be sent to all entrants. However, you will have the ability to opt-out of receiving it when you finalise your entry if you so wish.
